WRITTEN COMMUNICATION

Written Communication is any form of written message that is exchanged with another person. This could include handwritten letters, telegrams, faxes, emails, texting, etc. It would not involve speech, sign language, etc.

If you are the type of person who has difficulty speaking out your mind, or you hesitate to speak or cannot express yourself adequately, then written Communication can be very, very helpful. When you are representing yourself through writing, you can express yourself using the magic of words that wouldn’t have been so much comfortable with speech. Written communication (text messages, letters, emails) is a boon for introverts.

Written Communication consists of many factors. 

  1. Speaker, Listener, Topic,
  2. Sentence Structure,
  3. Essay/Research Paper Planning,
  4. Punctuation,
  5. Grammar,
  6. Business Writing.

Paralanguage is vital to written Communication

paralanguage is all that nonverbal stuff that occurs when you converse. The thing is, in Communication a lot of sense is communicated through tone and expression. Some more worth comes from facial expressions and eye movements, and a bit more through “body language.”

A lot of times, people don’t use words, they hum, whine, grunt, and make other noises. Then they roll their eyes, nod, shrug, take a deep breath, shake their head, and you know what they would mean, even though they may not have spoken any words. Humor, irony, sarcasm, and such things are conveyed through tone, and they can turn the meaning of the words around.

This is why conversational Communication is very different from written communication-spoken words only convey part of the meaning, but written words have to express all of the meetings.

This is a big problem in emails, text messages, tweets, and social media, where formal written language seems hard and a bit awkward, and so people try to write as they talk.

The idea of a written skill is to support and maintain a verbal message or to reinstate spoken words. When it is written down on the paper, people will retrieve more and have something to refer to.

It also enables people to perceive in advance of a meeting & grants to give a detailed Business case

It allows people to take your information elsewhere with them for later reference; It also leaves a legacy.

Readers are getting used to consuming short information. Business writers, journalists, editors, even novelists ,are responding by chopping up articles into more abbreviated form to improve readability and keep those shortening attention extents.

  1. Content is continuously improved:

Readers are used to hyperlinking and a broad pattern of sources. They may not always click through to these links, but they require the ease of having them there. These days, even newspaper articles will have a precise relationship with more reading material.

Pros of written Communication

  • Communication is more powerful
  • it’s better to read & understand
  • better to remembered
  • also improves your writing skills
  • written communications have a better understanding than any other, and it is also called a formal way of Communication.

Before you write anything formally consider the following tips:

  • Know your purpose and pronounce it acutely. You require the reader to do something for you? Or are you only moving along with the information is being provided? You need any acknowledgment from the reader, or you need him to any action on your statement? Your goal requires to be asserted in the conversation. Evade information if it is not appropriate. Clarity is the best weapon. (note this point)

 

  • The tone could improve your writing to be more productive. Particular forms of Communication, like records and suggestions, need a formal tone. Writing something to someone whom you know very well, it requires an informal tone. There is no need for a formal tone here. The sound depends on the type of audience you choose.

 

  • Describe in explicit terms what you need the reader to do. They can’t help if they don’t get it. Additionally, they may not even want to try to assist if the Communication is imprecise and not appropriately written. It is good to comprehend why it is helpful

 

  • Language requires to be mild. Do not overuse words, grammar, and idioms, alternatively try to fascinate with different names. Keep your sentences and articles short and brief.

 

  • Less is higher when it comes to the expansion of content. Leave out words that do not add to the main focus of the Communication. This could make the reader work harder to understand why you wrote it.

Writing is influential and can change the world. Writing gives a person time to prove himself without misspeaking.

The large group of knowledge is communicated through writing. Writing also can be “stored,” recorded quickly, cataloged, and settled in relatively little space. It can be referenced so easily.

Most job postings indicate that they wish to hire someone who can write, so knowing how to write is a critical element of most jobs.

If you’re a movie buff – be glad for writing. How else would people be able to read their parts?

The attachment to writing is reading. When something is written, it can be read, re-read, studied, and speculated upon. I love my Ramayana and I’am so glad I don’t have to remember all the words recorded there.

The next step is to use what you’re learning. You have to fix a few things when you’re learning or by doing. So write down your ideas daily by keeping a notebook & answering questions on Quora or some other method but write your concepts down.

Instead of being clam, speak about the topic to yourself. When you’re assuming, say it out loud so that you can learn to communicate verbally. This will improve your connection and will enable you to word your thoughts coherently.

The final step is to actually do this in your life to have a conversation with other people like friends, colleagues, family members, or any other. This will allow you to see where you need to improve.
