Initially, listen to what you’re being told by a client or ask questions to understand their view, pain point, problem. Indeed, you could start talking, but that’s all about you. To lead others, it has to be about them. The quickly you learn always to be considering their perspective in a situation, the faster your progress will come.

“How are you today?” It is inauthentic. You don’t care how they are.
“Is this a good time to talk?” On a Cold Call(which means no prior contact with people), it’s nevermore a ‘good time to talk’ because you are disrupting their day.
Get exact to the point in your sentence by contributing some value to them. (Not something that you believe it is valuable).

Note: “Is this a good time to talk?” It is necessary to say on-warm calls (having a conversation with prior contact )because they have Reached Out to you first. Assuming this, signals to the customer that you respect their time.
“What did you say your name was?” It looks like an excellent question to ask if someone whispers their name. But the customer may read it as “can’t you even say your name!”
Write down what you think they said and interpret later.
“It’s our policy.”
Policy changes over time with feedback. Maybe this is the time to change your Policy or make an exception. Ask to Call Back and seek guidance.
How will you like to be on the 5 pm Report because you said “it’s our policy” to someone in affliction(pain or sorrow)
Instead, say, “to be good to others, I have to…”

“There’s nothing I can do.”
Wrong! You can seek guidance if they have a good case.

There is never a time to say this because ‘repetition’ is a normal part of teaching. And it sounds like you are ‘talking down.’
Not a huge problem. “Talking with” sounds better.
