CRITICAL LISTENING STEPS

Listening is such an essential process that each interaction is unique and special. If you understand how you listen, which means what you listen to/for and what you ignore, you have a good chance you’ll start to recognize those patterns in others so you can tailor your communications to develop a mutual understanding of the right gift of listening. 

Critical Listening is a form of communication used in counseling, training, and conflict resolution; Critical Listening includes listening with all senses.

Steps for Critical Listening:

  1. Hearing
  2. Observance
  3. Responsive Gesture
  4. Understanding
  5. Recalling
  6. Relevant feedback

These are the essential steps in the Critical Listening Process. Further, we’ll see each step in detail.

Hearing:

At this degree of Listening, sound enters the eardrums and travels to the brain.

Observance:

Give the speaker your complete attention and acknowledge the message. But always keep in mind that non-verbal communication also “speaks” loudly and plays a significant role.

Responsive Gesture:

You should able to show that you’re listening – For that, you can use your body language and gestures to convey your attention. This makes it easy for a speaker to understand that you are excited about the topic.

Understanding:

From the spoken words, take what is meaningful and apply it to real-life examples for better understanding.

Recalling:

Though this step seems less important as many of us think that they can memorize anything or everything, but eventually, available information in our memory fades up as time passes.

Relevant feedback:

Generally, speakers want listeners to demonstrate ” critical listening” by responding appropriately to what they are saying. This can be verbal or nonverbal.

Signs of Listening:

  5. Mirroring in some cases

Tip for being a critical listener and for effective communication:

Inactive listening concern can be sent to the speaker by using both verbal and non-verbal messages such as maintaining direct eye contact, nodding your head or a smile, agreeing by saying ‘Yes’ which push them to go on with the topic. By these responses, the person speaking will usually feel more comfortable and communicates more quickly, openly, and honestly.

Critical Listening may take different styles depending on who you’re talking to. Still, the essential element is that you’re approaching the conversation with interest, and you’re trying to understand and digest the ideas that the other person brings up.

The first thing to do is throw out the idea that one person talks and the other listens. This will lead to passive Listening. Alternatively, there’s typically a conversation leader and a conversation follower. The leader is the one who is determining what subject is being talked about at that moment, usually the one advancing new ideas. Conversational leadership is very fluid, though, and can change quickly.

Yet, since the conversations are usually about each person’s lives, a good rule of thumb is to let people be the leader when talking about their own lives and issues.

Here are a few things that would help you to improve Critical listening skills.

  1. The desire to compete: Few people want to compete with you in the very next sentence, you say. If you tell them you had six shots last night, they’ll come with a big story where they had more chances than you. They have another story waiting for everything you tell. So my suggestion is, Don’t be that kind of person.
  2. Be genuinely enthusiastic.
  3. Listen with a determination to learn something different. You express what you already know, but when you listen, you learn new so many things.
  4. Play Sherlock. You can know a lot about a person by listening to them, letting them speak, and seeing how much they know on a subject matter. This is why, in an interview, they made you talk for a more extended period.
  5. Challenge yourself. Don’t always put your point whenever it comes to your mind. Take some time in pondering(think carefully) over it during a conversation, and challenge yourself only to share it when the other person is done talking.
  6. Don’t play with your phone while you’re listening to something or some audio content. It may distract you.
  7. Make eye contact and try to be present in the conversation even though you’re not speaking much.

Few Essential social skills

Excellent, conscious listening skills are very crucial in most social situations.

  • The ability to ask the right questions is another biggie (and is an integral part of listening well).
  • The ability to sincerely express feelings is very advantageous. This could mean things like confessing, but it could just as quickly say something as trivial as describing your mood.
  • A sense of humor is a must, but so is the knowledge of when and when not to use it.
  • Being good at small talk is very important. Small talk leads to a big conversation.
  • The ability to give constructive criticism in an effective manner that doesn’t provoke defensiveness is of unforeseen value.

Since no one has perfect social skills, I would say that the ability I put above all the others is the acknowledgment that social skills are skills and can be improved. The ability to learn and acquire new skills is more critical than having anyone skill.

Listed are a few barriers.

  1. One person is not taking other’s views seriously. Sometimes, in your head, you have already decided that what the other is saying is complete. And that can be true, but you have to give them time and full attention and then structure a relevant response. Some of us just try to cut in and say what we think without letting others finish.
  2. A body language that you aren’t interested in. If you have something important coming up and you do not have time, just exempt yourself instead of looking at your watch or tapping your feet. Just go! Don’t make another person waste his/her energy on speaking with you when you are not interested.
  3. Not maintaining eye contact. And not too much of an eye contact that I feel you are looking into my soul. Just give them proper head-shakes and body signals that you care about.
  4. Cutting another’s speech by bringing out a completely unrelated topic. Ohh!! Don’t ever do that. That is just downright(absolute) rude. 
  5. Not being to understand someone’s accent. Now that’s not so much in your hand, but ultimately, you have to put some effort into following them. Just gently ask them to repeat and state that you couldn’t understand fully. Younger people now have very American accents. So, its better you ask them to repeat what they’ ve told.
  6. A Closed mind. Just try to be more receptive(open-mined) and open to new ideas and viewpoints. They might shake your belief system but will always end up educating you. Listen and then decide what you think about it. If nothing more, it will gain you a bigger perspective and make you an interesting person.

Critical Listening also involves giving feedback to the speaker about how their message affected you. Reflecting back feelings and emotions allows you to check what you have understood the speaker’s sentiments and will enable you to understand. It also gives the speaker a chance to correct any faults that may have inadvertently(accidentally) been conveyed.
